Backing up important company files is a common method for businesses to protect their data in the event of computer system failure, a cyber attack, and more - however, not all backup practices can offer the same level of protection for all of these potential scenarios.

On-site backups - physical devices like hard drives or CDs kept within the business premises - can be very convenient as they offer immediate access to your data, but they don't take into account the risk of a local disaster; anything from an earthquake to a fire could not only damage your computer systems, but also any physical devices stored within the building. Off-site backups, however, mitigate this risk by ensuring all replicated files away from the business premises, whether that be online or simply in a different physical location.

Physical v Virtual

Storing backup data in a separate physical location is the most secure option as it leaves no digital connection between it and the organisation's network, preventing malicious software from spreading. Even the Bitcoin exchange company, Coinbase, now stores 87% of its customers' assets offline.

Most offsite storage facilities of this kind include 24 hour security too, which is especially helpful for small businesses who can't spare any of their own staff to ensure physical protection.

The disadvantage that comes with this method, however, is that it is time consuming to access and can be costly to arrange in the first place - at least compared to other methods.

White Paper: The Value of Offsite Storage

On the other hand, storing backups online is arguably the most convenient option; most modern remote backups are accessed and controlled through the cloud, so not only can data be access quickly and easily, but files and folders can be shared across multiple locations, contributing towards business continuity.

Online backups also include options for automation, meaning extra staffing isn't needed to regulate uploads - instead backups are uploaded or updated after the creation or alteration of any files, or they can be set to specific timeframe e.g. every 10 minutes.

Another advantage is that online storage is fully scalable, with most service providers requesting you pay only for the space you need at that time, with no need for additional hardware or physical storage space.
